Accounting automation and e-invoice integration
Copying the same invoice details from one screen to another, searching for documents and chasing missing paperwork shouldn’t be the part of the job that takes the most time.
A document arrives, the information goes where it belongs
When an invoice, receipt or contract reaches the system, the key details are read, shown to your team for checking and, once approved, transferred to the right place. The document is stored together with its record. We first look at where your documents come from and where they need to go, then build the flow around that.
Who is it for?
Accounting teams that handle large numbers of invoices and documents, accounting firms, purchasing and operations departments, and businesses whose documents are scattered across email and folders.
What can automation do?
- Reading details from invoices and receipts
- Collecting documents that arrive by email
- Transferring data to your accounting software
- Processing e-invoice and e-archive records
- Matching bank transactions
- Flagging missing or incorrect details
- Approval flows
- A document archive with search
- Payment and due date reminders
- Reports
Who stays in control?
Automation reduces the typing; it doesn’t take on the responsibility. It flags any record it isn’t sure about and doesn’t pass it through until your team has checked it. We decide together which records go through automatically and which wait for approval.
An off-the-shelf tool or a custom flow?
The document reading or e-invoicing features of your accounting software may already do the job. Using them properly first is the fastest and cheapest route.
If your documents come from different sources, data has to move between several programs or your approval process is specific to you, a custom flow is the better choice. We look at which one suits you together, before you decide.
What affects the price?
The price depends on the types and number of documents, the programs to be connected, the approval process and where the data will be stored. Once we’ve looked at a few sample documents, we send a quote with a clear scope.
Frequently asked questions
Will it connect to the accounting software I use?
That depends on the connections the software allows. If there’s no direct connection, transferring data in a file format the software accepts is another option. We look at it together before setup.
Are you an e-invoicing provider?
No. In Turkey, e-invoices and e-archive invoices are sent through private integrators approved by the Revenue Administration (GİB). We build the connection between the integrator you use, your accounting software and your own systems.
What if it reads a document wrong?
AI can make mistakes. That’s why we flag records it isn’t sure about and leave them for your team to check. Since the document sits next to its record, comparing them is easy.
Does it replace our accountant?
No. It reduces manual entry and document tracking. Financial responsibility and the final decision stay with your accountant and your team.
Can photographed or scanned documents be read?
Yes, if they’re legible. Success drops with handwriting and poor images; those go to manual checking. We first run a trial with your own documents.
Do our documents leave our systems?
That depends on the chosen setup. If a cloud-based model is used, the document content is sent to the model provider. If you have stricter requirements, we consider other options. We settle this together before setup.
I already use e-invoicing. Is this still useful?
Yes. Because e-invoice data already arrives in a structured form, transfer and matching become easier. The main gain comes with paper documents, approvals and follow-up.
Does it work for every type of document?
Results are better with documents that share a similar layout. We choose which documents to start with together, based on samples.
Who can see which documents?
We set permissions together, by person and by department. Data storage is set up in line with GDPR, Turkey’s KVKK or whichever rules apply to you, and with legal retention periods.
Are there monthly costs after setup?
For most setups, yes. Model usage and server fees vary with the number of documents. We list them separately in the quote.
How long does setup take?
It depends on the document types and connections. We share a clear timeline with the quote.
Who owns the code?
We discuss code ownership based on the scope of the work and put it in the agreement.
How is the system handed over to us?
We agree on how the handover will work at the start of the project. We hand it over after teaching your team how to use it.
How long is support provided?
We provide support for bugs and issues for the first six months after delivery. After that, it depends on the contract.
